Information we collect
When you send an enquiry, we collect the information you provide, which may include:
- your name, email address and telephone number;
- whether you are interested in buying, renting, staying or arranging a viewing;
- a preferred viewing date, proposed stay dates, guest numbers and bedroom preference where relevant; and
- the contents of your message and later correspondence.
We also process limited technical and security information needed to deliver and protect the website, such as IP address, browser and device information, request data and the result of anti-abuse checks.
Why we use it and our lawful basis
- Answering enquiries
- We use your details to understand and respond to your request. This is in our legitimate interests in operating Weavers Yard and providing accurate information to prospective customers.
- Taking requested steps
- Where your enquiry may lead to a purchase, tenancy or stay, processing may also be necessary to take steps at your request before entering into a contract.
- Marketing similar homes and services
- When you enquire, we add your contact details to our marketing list unless you use the clear opt-out on the form. We may then send you news, availability and offers about Weavers Yard and similar Motif homes and services. We rely on our legitimate interests in promoting those similar homes and services and only send electronic marketing where the applicable soft opt-in requirements are met.
- Security and misuse prevention
- We use proportionate technical information to secure the website, prevent spam and protect the enquiry service. This is in our legitimate interests and supports our data-security obligations.
- Legal obligations and claims
- We may keep or disclose information where this is necessary to comply with law, respond to regulators or establish, exercise or defend legal claims.
Who receives your information
Access is limited to people and suppliers who need the information for the purposes above. This may include:
- Authorised Motif Management Limited staff and the relevant Weavers Yard or Xpercity sales, lettings and operations team where needed to answer your enquiry or manage marketing preferences;
- Cloudflare, which provides website hosting, security, Turnstile anti-abuse checks, rate limiting and email delivery infrastructure;
- Google, whose Gmail service receives and stores the enquiry for the Weavers Yard team; and
- professional advisers, regulators, courts or public authorities where disclosure is necessary and lawful.
The interactive map and approved external context image also cause your browser to request content from third-party providers, including OpenFreeMap, unpkg and Unsplash. Those providers receive ordinary request information such as your IP address and browser details under their own privacy terms.
International processing
Some technology providers operate internationally and may process information outside the UK. Where UK data-protection law restricts a transfer, we require an applicable adequacy arrangement or appropriate contractual and organisational safeguards.
How long we keep enquiry information
We normally retain an unsuccessful website enquiry and related correspondence for up to 12 months after the last meaningful contact, then delete it unless there is a legal, regulatory or dispute-related reason to keep it longer. If you proceed with a purchase, tenancy or stay, information needed for that relationship is handled under the relevant customer documentation and retained for the applicable contractual and legal periods.
Where we use your details for marketing, we keep them while the information remains relevant or until you opt out. If you opt out, we may retain the minimum information needed on a suppression list so that we continue to respect your choice.
Your choices and rights
Depending on the circumstances, you may have rights to request access to your personal information, ask for inaccurate information to be corrected, request erasure or restriction, receive certain information in a portable format, and object to particular processing.
Your right to object
Where we rely on legitimate interests, you have the right to object to that processing. Tell us about your circumstances and we will stop unless we have compelling legitimate grounds to continue or the information is needed for legal claims.
Marketing choices
You can object to direct marketing at any time. Use the unsubscribe option provided in each marketing email, reply asking us to stop, or write to Motif Management Limited at the postal address above. We will stop the affected marketing and keep your preference on our suppression list where necessary.
To exercise a right, contact Motif Management Limited using the postal address or telephone number above. We may need to confirm your identity before acting on a request.
Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office. Visit the ICO’s data-protection complaints page or call 0303 123 1113.
Changes to this notice
We will update this page when our use of personal information changes. A new use that materially affects you will be brought to your attention before it begins where required.
